A Material Supplier That Documents the Whole Package
Takeoffs from your plan set, submittal-ready product data, lead times confirmed in writing, and freight quoted to the site with receiving instructions attached. Based in Northwest Montana, supplying qualified projects well beyond it.
Northern Lights Design is a specialty materials supplier — we do not perform installation or fabrication. Your crews install; we make sure the right material, with the right documentation, arrives when the schedule needs it.
What We Handle Before Material Ships
The work that keeps a finish package from becoming a change order happens weeks before the truck shows up.
Review from your plan set
Send plans, a finish schedule, or a unit matrix and we review the materials involved with you, then confirm what we can supply in a written quote. Materials only — labor stays with your crews.
Submittal-ready documentation
Cut sheets, wear-layer and PEI ratings, slip-resistance data, warranty terms, and finish schedules assembled in one package so you are not chasing a manufacturer PDF the day before a submittal is due.
Lead times confirmed in writing
Before you commit a date, we confirm current availability and supplier territory for your destination in writing. Slab, imported porcelain, and special-order hardwood get flagged early so your schedule holds.
Freight planned to the site, not to a guess
Quoted delivery based on quantity, access, dock or no dock, offload equipment, and required date. LTL, flatbed, and consolidated shipments each carry different receiving requirements, and we state them before booking.
Receiving and damage protocol
Written instructions for count, inspection, notating the delivery receipt, and reporting concealed damage inside the carrier's claim window — the step that decides whether a freight claim is winnable.
Attic stock and reorder consistency
Overage, dye lot, and run consistency planned at order time so unit 14 matches unit 1, and replacement material exists two years from now instead of being discontinued.
Six Steps From Plan Set to Delivered Package
The same sequence whether the project is in Kalispell or three states away. Remote work simply front-loads more of the logistics review.
Scope the project in writing
Destination, square footage by category, required on-site date, site access, and who receives freight. For out-of-area work this first conversation is mostly logistics, because logistics is what determines whether the project is a fit.
Specification and alternates
We review the specified product for availability in your market and supplier territory, then propose alternates where the spec is unavailable, back-ordered, or wrong for the exposure. Every alternate comes with the data behind it.
Review sample options
We review the requested materials and confirm sample availability, price or shipping costs, and destination options before anything is sent.
Written material quote
Line-item materials, overage, setting materials, and quoted freight to the destination, with clear exclusions: no installation, no fabrication, no subfloor prep, no demo.
Order, tracking, and delivery window
We place and track the order, confirm the delivery appointment against your schedule, and send receiving instructions to whoever will be on site.
Close-out and reorder file
Product names, runs, quantities, warranty documents, and maintenance instructions retained so a reorder or a warranty question later is a lookup, not an investigation.
Six Ways Out-of-Area Material Orders Go Wrong
None of these are exotic. They are the same six failures we see repeatedly when material travels a long distance to an unprepared site.
No one confirms who receives the truck
Most out-of-area freight problems are receiving problems. Name a person, a phone number, and an offload method before the shipment is booked. An LTL driver is not obligated to help move pallets off the trailer.
Delivery receipt signed clean
Count pallets and cartons, photograph the load before it is moved, and note any crushed corner, shifted banding, or shortage on the receipt. A clean signature ends most claim arguments before they start.
Site not ready when material arrives
Material staged in an unconditioned building can move dimensionally before install. Wood and rigid-core products want the building enclosed and conditioned first, and a delivery window that matches the trade's readiness.
Acclimation and moisture skipped
Slab moisture, subfloor flatness, and acclimation are install-side conditions, but they decide whether the material performs. Manufacturer warranties reference them, so we send the requirements with the order even though the install is not ours.
Ordering net square footage
Plan 7 to 10 percent overage on straight-lay plank, 12 to 15 percent on diagonal or herringbone patterns, and more in small cut-heavy rooms. Add attic stock separately — it is not the same as waste.
Assuming a product ships anywhere
Supplier territory is real. Some lines cannot be shipped into some states by any dealer. We verify territory for your destination and tell you plainly when a specified product cannot legitimately be supplied there.
Homeowner or owner-builder reading this?
You are welcome here. If you are already working with a builder or contractor, tell us who it is and we will coordinate the selections, quantities, and delivery date with them instead of running a parallel conversation that puts you in the middle. If you are managing the project yourself, we will be direct about what your installer needs to confirm — subfloor condition, moisture, and acclimation — before material is ordered.
Start with the homeowner pathway, walk through how our process works, or request samples before you commit to anything.
